HR Planning Basics

HR Planning is a term commonly used to include the plethora of HR activities conducted for smooth functioning of both company and it’s people.  Many authors distinguish between HR Planning and Strategic HR Planning, but quite honestly, HR planning only makes sense if it is done with a long term focus. All the below mentioned steps of HR planning are equally important from the company’s stand point.

Broadly speaking, HR Planning is a 4 step process (ATMM) -

  1. Acquisition - Manpower planning and correct recruitment processes. One of the most important functions of HR department is to ensure availability of right employees at the right place and time.
  2. Training and Development - Making sure the skill sets of employees match the skills required for their respective job profiles. Analyzing any gaps in competencies and designing and conducting interventions to fill these gaps. This function can also be outsourced.
  3. Motivation – Making sure the hired and trained employees are willing to devote their time and energy to improve the company productivity. Keeping stress levels in control and keeping them excited about their jobs is a challenging but essential responsibility of HR. Processes like incentive planning, appraisals etc. form a big chunk of this job.
  4. Maintenance – Maintaining the performance of the company by optimizing the manpower. It comprises of retraining, redeployment, job rotation, transfers  or even downsizing sometimes. This is an ongoing process and has to be conducted in complete coordination with the business.

Knowing the basics of HR Planning is essential  whether you work in training or in manufacturing, because HR planning cannot work in isolation. It is true that people are the life line of any business and hence HR Planning is essential. But at the same time, it recognizes that there must be an explicit link between planning function of human resources and other organizational functions, such as strategic planning and market forecasting.
